This policy explains what information Shoutback Concepts, LLC ("Shoutback," "we," "us"), an Ohio limited liability company, collects, why we collect it, and what we do with it. It covers shoutback.com, assessment.shoutback.com, the Referral Readiness Assessment, the Referral Revenue Roadmap, and any Shoutback membership or private network hosted on our platform.
When you complete the Referral Readiness Assessment, request a call, purchase a Roadmap, or become a member, you may provide:
Like most websites, we log basic technical information when you visit: IP address, browser type, device type, referring page, pages viewed, and timestamps. We use this to understand traffic and diagnose problems, not to build advertising profiles of individuals.
We do not collect, process, or store card numbers. Payments are handled by Stripe, which processes payment data under its own privacy policy and security standards. We receive confirmation that a payment succeeded and limited non-sensitive details such as the last four digits and card brand.
We use the information described above to:
We do not sell your personal information, and we do not share it with third parties for their own independent marketing purposes.
If you become a member, you may provide us with contact data about your own clients, former clients, and referral partners so that we can operate your referral program.
With respect to that data, you are the controller and we act as your processor. In plain terms: it remains your data, we use it only to deliver the services you've engaged us for, and we do not use it for our own marketing, do not merge it with other clients' data, and do not retain it after our engagement ends beyond what the law requires.
You are responsible for ensuring you have a lawful basis to share that data with us and that your own privacy notice permits it. On request, we will return or delete your client data within 30 days of the end of our engagement.
Where your membership includes managed sending, campaigns go out from your own business email domain under the standing approval established during onboarding. This means:
We maintain sending practices intended to comply with the CAN-SPAM Act and, where applicable, CASL — including accurate sender identification, a functioning unsubscribe mechanism, and a valid physical postal address in commercial messages.
We share information only with service providers who need it to help us operate, each bound to confidentiality and to using the data solely on our instructions. These currently include categories such as:
We may also disclose information where required by law, to enforce our agreements, or to protect the rights and safety of Shoutback or others. If Shoutback is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction; we will give notice before your information becomes subject to a materially different privacy policy.
We use a small number of cookies and similar technologies to keep the site functioning, remember your progress through the assessment, and measure aggregate traffic. You can block or delete cookies in your browser settings; some parts of the assessment may not work correctly if you do.
We honor Global Privacy Control and browser Do Not Track signals where we are able to detect them.
Depending on where you live, you may have the right to request access to the personal information we hold about you, correction of inaccurate information, deletion, a portable copy, or to opt out of certain processing. You also have the right not to be discriminated against for exercising these rights.
To make a request, email hello@shoutback.com. We will respond within the timeframe required by applicable law — generally within 45 days — and may need to verify your identity first.
You can unsubscribe from marketing email at any time using the link in any message. Transactional messages relating to an active engagement will continue.
We use industry-standard measures to protect information in our care, including encryption in transit, access controls limiting data to personnel who need it, and vendors selected in part for their security posture. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by applicable law.
Our services are intended for businesses and are not directed to anyone under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
We may update this policy as our services change. The "last updated" date above will always reflect the current version. If we make material changes affecting how we use information you have already given us, we will notify you by email or with a notice on the site before those changes take effect.
Questions, requests, or complaints about privacy can be sent to hello@shoutback.com.
